JOB DESCRIPTION:

CTCI, an innovative construction-based Technology company, is seeking to hire a Full Time Project Coordinator who will be responsible for assisting our Project Managers in the successful implantation of our ongoing Telecommunications, Audio/Visual and Security projects.

Responsibilities and Duties:

This role involves creating submittal packages, software administration, submitting close out documentation, testing equipment maintenance, updating company certifications and overall project manager assistance to ensure that project deadlines are met in a timely manner. In addition to the following:

  • Set up Bid Packages for potential projects

  • Create submittal package for each project

  • Monitor Project Manager Schedules

  • Upload and maintain project documents/data into software (Procore, TSheets, Fieldwire, etc…)

  • Print out Drawings on plotter

  • Create labels for each project

  • Build Closeout Packages for completed projects

  • Build As-Built drawings once project is complete in AutoCAD

  • Register projects with manufacture for warranty

  • Apply for rebates on a quarterly and/or yearly basis

  • Send Fluke testers back for calibration when needed

  • Save Fluke test results on the server

  • Run Work-In-Progress reports on a weekly basis

  • Create Quick Start Guides as part of for Audio Visual projects

  • Order office supplies from staples

  • Order plotter supplies from General Reproduction Products

  • Schedule lunch & learn

  • Fill out Credit Applications

  • Fill out Pre-qualification Packages once they expire

  • Apply for DPMC/SBE/Public Works once they expire

  • Monitor and maintain company certifications

Qualifications and Skills:

The ideal candidate for this role has an attention for detail, works well with a project team, takes accountability for the responsibilities assigned and executes on them. To be successful, you will need to communicate transparently, commit to continually learning and sharpening skills, and above all care about our customers, our company and the work we do.

  • Must possess a knowledge and understanding of practical commercial construction

  • Must have excellent verbal and written communication skills

  • Must have excellent time management skills and be able to multitask in an often fast paced environment and be able to transition quickly

  • Must be able to proficiently operate a PC and Microsoft Office (advanced Excel, Word, Outlook, etc.)

  • Must possess strong organizational skills with extreme attention to detail

  • Must have valid driver’s license

  • Must be flexible/comfortable with driving a company to attend occasional job site meetings throughout the state of NJ and NY City, if deemed necessary

Education / Experience:

  • Minimum Associate degree required

  • 5 years minimum construction/contracting experience

  • Familiar with Procore and like project management software preferred
